To provide administrative support to Executive Programs team and Finance team in Scandinavia, supporting EP Service Delivery associates directly, and executing operational processes.


POSITION ACCOUNTABILITIES AND SPECIFIC DUTIES:


 Consistently displaying awareness and sensitivity to the needs of internal & external customers.
 Fostering an environment of collaboration in pursuit of common goals, both locally and across EMEA.
 Providing first class support to EP Service Delivery associates, including but not limited to:
o Making meeting arrangements, including booking rooms/external venues, catering and equipment requirements;
o Organize events and networking dinners throughout Scandinavia;
o Acting as a contact point for all EP Service Delivery associates & their clients when visiting;
o Coordinate the agendas of complex conferences that require multiple attendees over multiple days, including all set-ups and external housing arrangements;
o Take meeting minutes as requested, including distribution and follow-up on action items
o Create and type general correspondence, reports and presentations. Proofread for spelling, grammar and format and edit as appropriate. Responsible for accuracy and clarity of final copy.
o Composing, producing and editing correspondence, spreadsheets and presentation materials;
o Providing QA support for proposals and client presentations;
o Assisting in making travel arrangements, prepare and submit travel expense reports;
 Supporting EMEA Operations processes, including but not limited to:
o Communicating operational changes to Delivery associates;
o Supporting bookings process;
o Supporting pipeline and lead updating process;
o Support Management Reviews by gathering performance information and by generating management reports;
 Effectively supporting local invoicing and expense management policies and activities.
 Acting as a first point of contact for New Associates and supporting the integration into your team. Continuously supporting introduction and implementation (including training) of new tools or initiatives.
 Acting as first point of contact for Delivery associates for internal systems
 Completing additional ad-hoc projects, working autonomously to manage projects and maintaining communication with interested parties.
 Participating in team meetings/events as well as other activities
 Responsible for printing, checking and mailing out all invoices to all Scandinavian clients

POSITION COMPLEXITY:

 Must be able to work with a large group of Delivery associates with different levels of seniority and personalities
 Must be able to work on their own or with others
 Must possess a flexible approach with the ability to prioritise and work well under pressure
 Must possess a pro-active approach with a degree of assertiveness



QUALIFICATIONS AND EXPERIENCE:


 3+ years experience in a professional office environment supporting senior level executives
 Proficient in Microsoft Word, Outlook, PowerPoint and Excel.
 Maintains an advanced degree of confidentiality and sense of urgency.
 Must be highly organized with good time management skills.
 Must have a high attention to detail.
 Excellent communications skills (written and oral).
 Ability to make decisions and work independently.
 Proven ability to analyze data, research information, problem-solve and coordinate projects.
 Excellent telephone etiquette.
 Able to exercise discretion and professionalism when relating to clients, both internal and external.
 High proficiency in English
