We are currently looking for a dedicated Sales Assistant to provide full support to a large and multinational sales team in the company’s head office. This role is ideal for a motivated candidate who enjoys working in a busy team and a company which will grow from 50M € to 200M € in the next four years.

Your experience and personality:
This role will require someone with the initiative and multi-tasking ability to deal with a wide variety of tasks, often working under time-pressure. Pro-active and very organised, you will be efficient at prioritising your work load and at establishing good working relationships with all members of staff.

You will be IT literate and have worked with Word and Excel, and you are likely to join us with experience in a similar role in a rapidly expanding company.

Ideally, you will also speak a further European language, preferably French or German.

Job description:
Working mainly as the single direct link between the sales team and the middle office staff, your role will focus on supporting our Sales Consultants in areas that include contracts, sales order management and client invoicing.

Alongside your support for the sales team you will be working closely with the Office Manager to also support the office logistics of our London headquarters, which includes responsibility for incoming phone calls, mail and office supplies.


Your role

Sales Operations support
• Liasing between London, Geneva, Stuttgart and US offices.
• Distribution of London administration work
• Contact with both clients and candidates to obtain and provide complete sales order information
• Administration of candidate timesheets and client invoices
• Chasing clients and contractors for signed contracts and timesheets
• Chasing clients for purchase orders
• Dealing with consultant queries, i.e telling them when their invoice will be paid, when it was paid, any issues with their timesheets / invoices
• Working with the sales associates to ensure all contract administration is done within a timely manner.
• Ensure start date and other info on deal sheets are correct.
• Creating PDF invoices to email to clients
• Arranging staff travel
• Organising contractor and staff promotional evenings and events
• Ad Hoc admin work. (post etc)
