Multilingual Operations Assistant
Location: Oxford
My client is a well established travel agency. They are looking for a multilingual Operations assistant.
Key Responsibilities:
Operations:
•Recruitment of Tour Consultants (sending application forms / scheduling interviews / reject and acceptance letters to applicants).
•Organisation of TC Meetings and Training Conference for new TCs, including venue arrangements / preparation of materials and post meeting administration
•Support and point-of-contact for TCs (on both escorted and independent trips).
TC travel arrangements (flights for longhaul) and Vehicle Hire
•Maintaining the vehicle database, inputting diesel transactions, service histories, suppliers etc for each / van and country we work in. Processing and following up issues on Vehicle Reports from TCs
•Vehicle Fleet Management (Mercedes Minibuses and Citroen Berlingos)
Liaising with the Company's vehicle supplier on leasing vehicles, storing vans over the winter, MOT's, taxing etc. Also transfer of vehicles to and from supplier's premises as they arrive in or leave the country.
•Liaison with Insurance company in the event of any claims. This involves chasing accident report forms, liaison with TCs/foreign garages for quotes and prices, third parties and the Company's insurers. Notifications of insurance excess charged to TCs arising from scrapes and accidents. Payment of foreign garages through bonificos and foreign currency cheques
•Analysing TC assessment questionnaires for office
•Operational Management of Equipment for both escorted and independent programmes: picnic kits, uniforms, X-mas presents, First Aid boxes, Forms for TCs
•Maintenance of accurate information / lists: TC database, TC trip knowledge, TC availability / TC Homepage
•Miscellaneous correspondence with TCs / Forwarding mail that arrives for TCs
•Travel abroad: vehicle logistics or work on adhoc trips as Manager/Leader/Route Manager
Office:
•Assist General Manager with general office administration, including:
Liaison with office suppliers / Office Staff recruitment and inductions / Language assistance to other departments within the office as required.
•Assisting other departments outside peak Operations times, projects could include collating trip information for brochures, proof reading brochures, updating trip notes and other trip related projects.
Requirements for the role:
Good office / admin skills
Good organisational skills
Good knowledge of European geography and willingness to gain product knowledge.
Willingness to travel on occasions
Languages – one or more of the following: Italian/Spanish/Portuguese/French/Greek/German
Full Clean Driving licence
Aged 22+ (minimum age for company vehicle insurance - Company vehicles include Citroen Berlingos and Mercedes Sprinter 9-seater minibuses)
HOURS OF WORK: Monday – Friday 8.40 a.m. – 5. 30 p.m.* and
Tuesday – Saturday during peak trip times in mid April-mid June and September-mid October.
